Before any of your team uses the work order software, a job dispatcher will use information inside your CRM to schedule a job directly from the scheduling software (the SmartScheduler).  For example, a deal moved to a specific blueprint step or stage might trigger the creation of a work order, and thus the scheduling of a technician to survey an area.

(The crew or team member working on a maintenance job is assigned based on the skill required for a particular job.  For example, skills like concrete cleaning, gutter cleaning, roof cleaning, etc., are specified in the scheduling app and then cross-referenced with a Required Skills field in your Zoho CRM.)

Once the job dispatcher assigns a maintenance team member or crew to the job at hand, the technician will be ready to go.  They will receive a notification about their newly scheduled work, and the client will receive a similar email notification.

On the appointment date, the team member or crew can travel to their destination with the help of appointment reminders from their calendar.  Once the worker arrives at the job, they can access their work order software straight from their mobile device.  This allows them to:

  • Clock into a job
  • Read instructions related to their job
  • Read, modify, or close any tasks related to the job
  • Log time against individual tasks in the work order
  • Capture photos of the job site, if necessary
  • Capture an e-signature, if necessary
  • Clock out of the job
